Privacy Policy
Scope and accountability
This Privacy Policy describes how Beekeeping Innovations Ltd. collects, uses, discloses, safeguards, retains, and deletes personal information in connection with Be The Bee mobile applications, web platform, and related services. The policy is intended to comply with PIPEDA and Alberta PIPA.
Information we collect
- Account information, including name, email address, organization name, role, and login credentials.
- Subscription and purchase status needed to provide paid features.
- Hive, apiary, inspection, equipment, feeding, treatment, and operational records entered by users.
- Apiary location data used for mapping and organization features.
- Voice inspection transcripts and structured data generated from spoken inspection inputs.
- Uploaded photos, audio notes, and other inspection attachments voluntarily provided by users.
- Device, app version, crash, diagnostic, analytics, and performance data.
- Push notification tokens and integration data where a user enables those features.
- When a user optionally connects Google Calendar, the calendar and event information needed to synchronize the user-selected organization calendar, including event titles, descriptions, dates, times, identifiers, and change metadata.
How we use information
- Operate, secure, maintain, troubleshoot, and improve the service.
- Authenticate users and manage organizations, roles, and permissions.
- Convert spoken inspection inputs into structured hive records.
- Store and display hive records, trends, notifications, reminders, and analytics.
- Provide subscriptions, entitlement checks, customer support, and legal compliance.
- Improve the security, reliability, and usability of the Service using information that is not Google API data.
Voice, audio, and AI processing
Raw voice recordings captured during live voice inspections are not retained as biometric voiceprints. Text transcripts and structured inspection data may be stored as part of inspection records. Audio notes voluntarily uploaded by users may be stored on our servers and associated with inspection records.
Be The Bee uses on-device models for its voice-inspection and command-processing features. Google Calendar data is not sent to third-party AI services and is not used to create, train, evaluate, or improve generalized or foundational AI or machine-learning models.
Google Calendar data and Limited Use
Google Calendar access is optional and is used only to provide the calendar synchronization features requested by the user: listing calendars, creating, reading, updating, deleting, and monitoring work-visit and task events in the selected calendar. We do not sell Google Calendar data, use it for advertising, or transfer it to third-party AI services. We do not use Google Calendar data for any purpose unrelated to providing or improving these user-facing calendar synchronization features.
Be The Bee's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Security safeguards
We protect data in transit with TLS. Google OAuth refresh tokens are encrypted using AES-GCM before storage, and access to integration data is limited to authorized service components and organization members. Users can disconnect Google Calendar at any time; this revokes the stored Google authorization where possible and removes the stored connection from the Service.
Sharing and transfers
We do not sell individual user data to third parties for advertising. We may disclose information to trusted service providers, cloud infrastructure providers, analytics and diagnostics providers, payment platforms, legal authorities where required, or as part of a business transfer. Some providers may process data outside Canada, including in the United States.
Retention, deletion, and rights
We retain personal information while accounts remain active and for up to 24 months following account termination for backup, compliance, and legal purposes unless a longer period is required by law. Users may initiate account deletion from the in-app Profile screen, or request access, correction, deletion, or withdrawal of consent by contacting the Privacy Officer at allthebuzz@bethebee.ca.
User Agreement
Users must be at least 18 years old and legally capable of entering into binding contracts. Be The Bee is a cloud-based beekeeping record-keeping and organizational platform. It captures and structures hive inspection data, stores apiary and hive records, supports voice inspection workflows, and provides operational summaries.
The service is provided for informational and record-keeping purposes only. It does not provide veterinary, agricultural, treatment, chemical, regulatory, diagnostic, productivity, or hive survival advice. Users remain responsible for reviewing records and making hive management decisions.
Users retain ownership of raw hive and organization data they submit. Users grant Beekeeping Innovations Ltd. a license to host, store, process, display, secure, support, and improve the service using that data. The company owns the software, platform, architecture, aggregated datasets, and improvements derived from usage patterns.
Paid subscriptions automatically renew unless cancelled before renewal. Failure to pay may result in suspension or termination. This agreement is governed by Alberta law and applicable federal laws of Canada.
Refund Policy
App Store subscription purchases, billing, cancellations, and refunds are handled by Apple under Apple's App Store terms and refund process. Beekeeping Innovations Ltd. does not directly receive full payment card details for App Store purchases and cannot issue App Store refunds directly from inside the app.
Users may manage or cancel subscriptions through their Apple ID subscription settings. Refund requests should be submitted through Apple's official refund process unless otherwise required by applicable law.
Nothing in this policy limits rights under applicable consumer protection legislation, including the Alberta Consumer Protection Act.
Store Privacy Summary
Be The Bee may collect contact information, identifiers, purchase history, product interaction, precise apiary location, user content, photos or videos, audio data, diagnostics, crash data, and performance data. This information is used for app functionality, analytics, diagnostics, customer support, subscriptions, security, and product improvement. Data may be linked to a user account. It is not used for tracking as defined by App Store privacy disclosures.
Website Terms
These terms govern access to the Be The Bee public website, marketing pages, and public legal content. Registered app users are also governed by the User Agreement. Website content is provided for general information and may be changed at any time.
